It will now be more important than ever to conduct effective virtual meetings, but how can you ensure that these meetings run smoothly and participants remain engaged and involved?<\/p>\n<p>In this blog, we have provided you with some top tips on what to do before, during and after virtual meetings to help you make these meetings a success. A small investment in preparation of your virtual meetings now could have a huge positive impact.<\/p>\n<p>Once people are comfortable with the technology and their ability to use it, your virtual meeting productivity will be greatly enhanced if you follow these basic guidelines for effective virtual meetings:<\/p>\n<h3><strong>Before the meeting<\/strong><\/h3>\n<ul>\n<li><strong>Plan<\/strong> and <strong>d<\/strong><strong>istribute<\/strong> the agenda and information in advance; confirm receipt.<\/li>\n<li>Clarify <strong>responsibilities<\/strong> (for note-taking, timekeeping, meeting leadership, technical support).<\/li>\n<li><strong>Identify<\/strong> the appropriate\/desired <strong>technology<\/strong> to be used. Confirm the availability\/accessibility of the selected technology for all participants.<\/li>\n<li>Arrange for <strong>required equipment, information, and people <\/strong>to be involved.<\/li>\n<li><strong>Test<\/strong> the technology. Make sure that things work ahead of time so you can minimize wasting people\u2019s time with tech-glitches.<\/li>\n<\/ul>\n<h3><strong>During the Meeting <\/strong><\/h3>\n<ul>\n<li>Encourage everyone to <strong>introduce<\/strong> themselves (or verbally \u201csign-in\u201d) at the beginning of the meeting and <strong>identify<\/strong> themselves whenever they speak (except for video\/net conferencing or in well-established teams whose members\u2019 voices are recognised by everyone).<\/li>\n<li>Establish <strong>expectations for involvement <\/strong>by all participants (periodically pause to summarise and ask for questions, discussion, clarification).<\/li>\n<li>Ensure that <strong>visual or graphic resources <\/strong>can be distributed \u201creal-time\u201d or in advance to everyone (via email, Internet).<\/li>\n<li>Remind everyone to <strong>speak slowly, clearly, and in the direction of microphones <\/strong>or speakerphones, and to request that something is repeated if not heard clearly.<\/li>\n<li>Suggest that participants use the <strong>\u201cMute\u201d button <\/strong>on their phones to eliminate background noise that might be disruptive to a virtual meeting.<\/li>\n<li>Keep to the <strong>schedule<\/strong>.<\/li>\n<\/ul>\n<h3><strong>After the Meeting <\/strong><strong>\u2028<\/strong><\/h3>\n<ul>\n<li>Distribute <strong>meeting summary <\/strong>in a timely manner, with details regarding agreements and follow-up actions.<\/li>\n<li>Schedule any <strong>follow-up meetings <\/strong><\/li>\n<li>Implement any <strong>action steps <\/strong>that were agreed to during the meeting.<\/li>\n<li>Solicit <strong>feedback<\/strong> from participants on how similar \u201cmeetings\u201d in the future can be enhanced\/improved<\/li>\n<\/ul>\n<p>While face-to-face interaction will always be the preferred choice for creating new relationships and repairing those that have become fragile, virtual meetings \u2014 if used thoughtfully and with careful planning \u2014 can be surprisingly effective in achieving a wide range of objectives. We know Covid-19 is causing many organisations to work remotely, cancel their events, seminars and offsite meetings. There is no getting around it: virtual meetings will be the most commonly used activity for a while!
